AI automation for small businesses
I look at which work happens the same way every day in your business and rebuild it so it happens without you. Based in Linz, working across Austria and remote.
Typical cases from everyday work
- Enquiries from the contact form and the inbox land sorted in one place instead of three.
- Quotes get built from a template with the customer data already filled in.
- Invoices go out on schedule, and a payment reminder follows on its own after the due date.
- Data moves between two programs that do not talk to each other.
- The report someone clicks together every Monday morning is simply there on Monday morning.
- Long documents get read and summarised into the three lines you actually need.
How it runs
- 1 One call. You describe your week, I ask where it hurts. Costs you nothing.
- 2 I write down the process exactly as it happens today, including the exceptions nobody documents.
- 3 I build the smallest piece that already saves time, and you use it for a week.
- 4 It goes live with a watchdog that tells me when it breaks, and a handover you can read.
What it costs
There is no list price, because the same sentence means two hours of work in one business and three weeks in another. What drives the price: how many steps the process has, whether your existing programs have a proper interface or need to be operated like a human would, how many exceptions exist, and whether everything has to run on your own hardware. You get a fixed price for a defined scope before anything starts, not an open hourly account.
What you get
- The automation runs on your accounts and your server, not on mine.
- The process written down in plain language, so the next person understands it.
- A watchdog that reports failures instead of failing silently.
- An off switch. Everything can go back to being done by hand.
- No subscription that you have to keep paying to keep your own process.
When AI is the wrong answer
Sometimes the honest fix is a template, a checklist or one setting in the software you already pay for. If that is the case I say so, and it costs you one call instead of a project. Work that happens twice a year is not worth automating. Work where a wrong result is expensive needs a human approving it, and I build that approval step in rather than pretending the machine is always right.
Common questions
What can actually be automated?
Anything that follows the same pattern and where the information already exists in digital form. If you can explain the task to a new employee in five minutes, it is a good candidate.
Do I need a paid AI subscription for this?
Usually a business account with one provider, paid by usage. If the data must not leave your building, we use a model on your own hardware instead and there is no subscription at all.
What happens when the AI gets it wrong?
Everything that costs money or leaves the house gets an approval step in front of it. You see what is about to happen and confirm it. Only the harmless parts run fully on their own.
Does my data stay in the EU?
If you want it to, yes. Either through a provider with EU processing and a data processing agreement, or entirely on your own server with no outbound connection at all.
How long does it take?
A first working piece usually takes one to two weeks. A whole process with exceptions and approvals takes longer, and we cut it into pieces so something useful is running early.
What if you are not around any more?
The accounts, the server and the code are yours, and the process is documented. Any developer can take it over. That is deliberate.
Does this fit your case?
Write two sentences about what eats your time. I will tell you honestly whether it pays off.
